ILL & ILLiad: Frequently Asked Questions

 

 

What is InterLibrary Loan?

Interlibrary Loan is a service that can provide you (a UF library patron) with articles and books that aren’t available in the UF library collections.

 

What is ILLiad?

ILLiad is the electronic system you use to request an item through Interlibrary Loan. The name ILLiad can be thought of as an acronym for InterLibrary Loan internet accessible database.

 

What can I order via InterLibrary Loan?

ILL can be used to order materials that are not available from the UF Libraries – either copies (of articles and book chapters), or loans (books, microfilm, media, etc.).

What does it cost?

The George A. Smathers Libraries offers the Interlibrary Loan service at no charge for our patrons.  On rare occasions, excessive costs (particularly copyright fees) will force us to cancel a request.

 

How long will it take for my materials to arrive?

Articles usually take between 3-5 business days. Once the article arrives, you will get an email letting you know it’s available via your ILLiad account – just log back in to read or download. All articles are delivered electronically in PDF format and you will have 30 days to view/print/download.

 

Books take longer – from 1-4 weeks, depending on the distance from the lending library (shipping takes time!)  When the book arrives, you’ll be notified by e-mail.. On-campus patrons can pick up the book at the Library West circulation desk. For distance patrons, we ship to you via UPS.

 

What about electronic books?

At this time, we cannot ‘borrow’ electronic books via InterLibrary Loan. Such books are usually purchased by libraries with licenses that restrict their use to patrons of the owning library.

 

How long can I keep a book/microfilm?

 

That’s up to the lending library – typical ILL loans are for 4-6 weeks.  The due date is noted on the band wrapped around the front cover of the book (or wrapped around the microfilm)  The band will also tell you of any special conditions on the loan – some items can only be used in the library, and some cannot be renewed.

 

How do I renew an item?

·         Log in to your ILL account

·         In the “Main Menu” (left side of the ILLiad screen) under the “View” section click on “Checked Out Items”.

·         Click the Transaction Number for the item you want to renew. This will open up a new window.

·         Click “Renew Request” in red above the Transaction Information and you will be given a new due date.

Unless the lending library has specified “No renewals”, we can usually get one renewal extending the due date 1-2 weeks.  Renewals are granted at the discretion of the lending library. Please request renewals BEFORE the due date listed on the book band.

 

I am a distance patron. How do I get materials sent to me?

You can use your ILLiad account to order materials – whether they’re available at a UF library or not. Copies will be supplied to you electronically via your ILLiad account, and books will be shipped via UPS to the address you provide. (You will receive a shipment notification email when each book is shipped.)

Why do I need a username and password to use ILLiad?

Because ILLiad is separate from the regular UF library circulation system, you need a separate username and password. . You will need to supply us with your personal information, including your email, physical address and phone number.

 

Your username is your UF-ID (including the hyphen!), which is located on your GatorOne card. Your password can be anything you like.  To protect your privacy, we recommend that you follow good security practice and choose a password that is different from those you use to access other systems. No one but you will know your password, not even the library staff. The password you set is stored in an encrypted file.

 

What if I forget my password?

If you forget your password, you can either

·         Reset your own password by clicking on the “Forgot Password” link on the ILLiad login page. (Your new password will be emailed to you)

·         Contact the Interlibrary Loan Office at (352) 273-2535 We can reset your password for you.

 

Who is eligible to submit ILL requests?
